The columns of an equipment maintenance log and what the agent does with each one.
An equipment maintenance log is the machine-by-machine record of everything done to it: preventive maintenance, breakdowns, inspections and lubrication. Kept well, it's the asset history behind any maintenance plan.
| Column | Why it's there | What your agent does with it |
|---|---|---|
| Equipment, asset ID and area | Which machine the sheet belongs to | Groups history by machine, line and area |
| Date | When the work happened | Works out how often each asset fails |
| Type (PM, CM, INS, LUB) | Preventive vs. corrective | Shows how much maintenance is firefighting |
| Task performed or failure | What was done or what broke | Finds repeat failures even when written differently |
| Downtime (hours) | How long the machine was down | Totals downtime per asset per month |
| Parts used | What was replaced | Totals usage and spots parts replaced too often |
| Tech and initials | Who did it | Shows workload per technician |
| Next PM due | When the next service is | Alerts you if a PM doesn't show up on time |
From a binder of sheets to knowing which machine costs you most.
“Which machine had the most breakdowns this quarter?”
It answers from your maintenance logs and tells you which sheets each number comes from.
“How much downtime has Press 3 had this month?”
It totals that machine's downtime and compares it with last month.
Breakdowns per machine, downtime per month
The dashboard agent picks the KPIs from your log and updates with every sheet.
“Alert me if a machine gets 3 corrective jobs in a month”
When the sheet is confirmed you're notified by email or Microsoft Teams, before a failure becomes a habit.
Your usual maintenance log, with what it was missing.

What people usually ask.
What is an equipment maintenance log?
It's the record of every job done on an asset — preventive maintenance, breakdowns, inspections, lubrication — with the date, who did it, the downtime it caused and the parts used. It's the backbone of each machine's history.
What should a maintenance log include?
At minimum: equipment and asset ID, date, type of work, task or failure, downtime hours, parts used, technician and initials. The free template here has all of that plus a box for the next PM due.
One sheet per machine or one for everything?
We recommend one per asset per month, hung by the machine, so history stays organized on its own. If you use one general log, the agent reads it anyway and sorts rows by asset.
Can I use it as a preventive maintenance checklist?
The log records what was done; for the tasks of each PM, attach your PM checklist or work order. The agent reads both and links them by machine and date.
Does it replace a CMMS?
It doesn't try to. If you have one, it's the bridge for everything still on paper. If you don't, it gives you asset history, questions and alerts without making anyone type.
Does it read my techs' handwriting?
Yes, and anything unclear is flagged in amber for you to check before confirming.
What does it cost?
The 30-day trial is free with no card; after that, 12 sheets a month free or plans from $39/mo with unlimited users. Prices exclude sales tax where applicable.
