Photo of the scale ticket at truck unloading
In a factory that processes avocado, the receiving clerk starts every truck with a scale ticket and an intake sheet filled out by hand: source orchard, weight, estimated ripeness. That paper defines the lot from minute zero, but today it sits undigitized for hours. With iLEAN Connect, one phone photo is enough for the orchard-to-lot record to exist in the central system in zero seconds.
The lot is defined at the scale, and then it waits on paper for half a shift.
Orchard-to-lot traceability is the single most valuable data point in the avocado chain -required for export phytosanitary certification- and today it's born on paper. Between truck arrival and someone transcribing the scale ticket, 4 to 8 hours pass, during which that lot may already be mixed with others on the sorting line with no central record of where it really came from. When an audit or an export-market query asks about a specific lot, reconstructing the exact origin means digging through office paperwork, not a query that takes seconds.
- Every truck arrives with a scale ticket and an intake sheet filled in by hand: source orchard, grower, variety, weight, crate count and an estimated ripeness someone judged by eye and by thumb.
- That sheet is the only link between the fruit and the orchard it was cut from — the link export phytosanitary certification depends on.
- Between the truck and the transcription, 4 to 8 hours pass, and meanwhile the fruit is already moving onto the sizer, mixing with lots from other orchards.
- When a market or an auditor asks where a specific lot came from, the answer is a search through office paperwork, not a query that takes seconds.
Connect in photo mode — the receiving clerk keeps the sheet and adds one picture.
Connect photo mode: the receiving supervisor photographs the scale ticket and intake sheet with a phone or industrial tablet right at the truck. A grounded LLM recognizes the document structure and extracts orchard, grower, weight, variety and estimated ripeness, without changing the operator's routine at all. The data passes through early human verification (a 2-tap tablet check) before entering iLEAN's central memory.
Avocado is not a raw material that waits: it keeps ripening in the crate while the paperwork catches up. Capturing the orchard at the scale is the only moment the link is still clean, before the first mix on the sizer blurs it for good. Everything downstream — grading, pulping, export paperwork — inherits whatever was or was not written down at that moment.
Orchard receiving on paper versus orchard receiving by photo
| Aspect | Today, on paper | With iLEAN Connect |
|---|---|---|
| Orchard-to-lot record | Transcribed 4-8 h later | In the system at zero seconds |
| Origin of the fruit on the sizer | Unknown until someone types it | Known before the first crate is tipped |
| Estimated ripeness at intake | A note in the margin | A field tied to the lot |
| Export-market query on a lot | A hunt through office folders | Instant web lookup per lot |
| Variety and grower | Legible only to whoever wrote them | Extracted and checked by a person |
| The clerk's routine | — | Unchanged: one photo |
4-8 hours of lag before receiving gets digitized → zero seconds. Orchard-to-lot traceability rebuilt by hand for every query → instant web lookup per lot.
Impact estimate — to be validated with your numbers.
The block below is an estimate to be validated against your plant's actual data. We put it forward so the committee has an order of magnitude; we refine it during the assessment.
- Estimated payback 4-9 months, depending on how many trucks you receive per day.
- The return comes from the receiving supervisor's transcription time, which in peak season adds up to hours every day.
- From 4-8 hours of lag down to zero seconds, so every lot has an origin before it reaches the sizer.
- And orchard-to-lot traceability stops being rebuilt by hand for every audit or export-market query.
Estimated payback 4-9 months depending on daily truck volume, from recovering the receiving supervisor's transcription time. *Estimate to be validated.*
And the fair question from the production manager
“Can it read an intake sheet filled in by hand, at the dock, with a truck waiting?” — extracting orchard, grower, weight, variety and ripeness from a document whose layout never changes is an anchored task, where the best models drop below 1.5% error [1]. And a doubtful field is never guessed: the summary lands on the line tablet and the supervisor confirms or corrects it with two taps before anything enters central memory.

What people ask about capturing the orchard at the scale
Do growers or the receiving team have to change the intake sheet?
No. The model reads the sheet you already use, with its columns and its handwriting. Asking growers to change paperwork in the middle of the harvest is exactly what this case avoids. The sheet stays the same for the grower, the driver and the clerk.
Is the estimated ripeness captured, or only the weight?
Both. The ripeness estimate at intake is one of the most useful fields, because it decides whether a lot goes to fresh export, to pulp or to oil, and today it stays on paper. Once it is a field, it can be compared later with the dry matter the lab measures on the same lot.
What happens when one truck carries fruit from several orchards?
Each orchard on the sheet becomes its own lot record. That separation is precisely what gets lost when the crates are tipped onto the sizer before anyone has typed them in. Mixed orchards on one truck are common at peak, so this is not an edge case.
Does it work at night during the harvest peak?
Yes. A phone photo under the dock lights is enough, and the lot exists in the system at the same moment it would at midday. Night receiving is where the backlog of paper usually grows the most.
Does the ERP have to be connected from day one?
No. The record goes into iLEAN's central memory first, and the push to the ERP is added once the value is visible on the floor. That order keeps the first weeks free of integration projects.
