The proof that the run started right sits in a folder until somebody files it.

With two or three shifts, several lines running in parallel and several model changeovers a day, dozens of first-off records pile up every day. They are filled in by hand because the human signature is a standard requirement, and it will stay that way: nobody is asking to remove the paper. The problem is what happens after the signature. The sheet sits in the supervisor's office folder until somebody files it. Four to eight hours can pass — sometimes the whole shift — with that record existing in no queryable system. Then comes the day a problem shows up at the customer and a containment has to be bounded. Somebody has to go and find the sheet for that specific shift, among hundreds, to prove the start-up was conforming. If the sheet is misfiled, incomplete or simply illegible, the containment gets widened out of caution: you contain what you cannot demonstrate.

It is the simplest of the twelve to deploy and the one that changes nobody's habit: the technician signs as always and adds a photo. From that second the record is in central memory, indexed by line, shift, model and starting serial number, and the image of the signed sheet is kept as the evidence the standard requires. That is usually why it is the first case a quality manager approves.

  • The technician photographs the start-up sheet and the first-off record with a phone or industrial tablet, right after signing them.
  • A grounded LLM recognizes the form's structure — without redesigning it — and extracts fields: line, model/variant, shift, critical component references, parameter values, result, signature present.
  • The result goes to the line-side tablet for human validation (see case 5). Only then does it cross into central memory, tied to the live order.
  • The image of the signed sheet is kept as evidence: the handwritten signature stays the handwritten signature, which is what the standard asks for.
  • From then on the record is queryable by line, model, shift or starting serial number.

"What if it misreads the gas generator reference on the record?" — reading fields from a form with a known structure is an anchored task, where the best models drop below 1.5% error [1]. And there are two more nets: the reference is cross-checked against the bill of materials of the live order, and the summary goes to the line-side tablet, where a person confirms or corrects it before anything crosses into the central system.

Frequently asked questions

What people ask about digitizing the first-off record

Do we have to redesign the first-off record?

No. It is handwritten by standard and tuned to the control plan of each variant, and vision reads the form exactly as it is. Redesigning it would be the surest way to lose the technician.

Does the handwritten signature still count?

Yes, and that is the point: the image of the signed sheet is kept as evidence, so the signature remains the handwritten one the standard asks for. What changes is that the record also exists as data from second zero.

What happens on a night shift changeover?

Exactly the same as on a morning one. Today the night shift's record is the one that waits longest to be filed; with capture it is in the system before the first module leaves the station.

Do we need MES or ERP integration from day one?

No. The record lives in iLEAN's central memory from the first start-up, tied to line, shift, model and starting serial number. The push to MES or ERP is connected afterwards, once the value is demonstrated.

Does it cover the start-up sheet as well as the first-off record?

Yes, both are photographed together right after signing. The start-up sheet gives the parameters and the first-off record gives the verdict, and the containment question needs the two side by side, for the same line, shift and starting serial number.
