Every machine's delivery dossier, ready on its own
Automotive and medical-device customers audit to IATF 16949 and ISO 13485 and ask, with every machine, for validation documents: acceptance tests, tuning, material certificates and welding parameters. Quality spends days gathering papers and files for each machine before delivery or the customer's audit. If one piece of evidence is missing, a non-conformity appears. Every step already captured, inspection photos, bench curves, tablet sign-offs, certificates, is linked to the serial number. iLEAN Agents organizes it by what each standard and each customer asks for.
Every machine ships with a pile of documents someone has to assemble by hand.

- Automotive customers audit to IATF 16949 and medical-device customers to ISO 13485, and both ask, with every machine, for validation documents.
- Acceptance tests, tuning results, material certificates, welding parameters and FAT records: each sits in a different place, on paper, in a spreadsheet or in someone's mailbox. Some only exist as a photo on a technician's phone.
- Quality spends days per machine, often the last days before shipping, gathering it before delivery or before the customer's audit, and the work is repeated in a different layout for each customer, sometimes for two machines of the same order.
- If one piece of evidence is missing, a non-conformity appears, sometimes in front of the customer's auditor and with the machine already installed. Rebuilding a missing tuning record after delivery means going back to the customer's plant.
Agents on top of what Edge and Connect already capture — organized per standard and per customer.
Every step already captured, inspection photos, bench curves, tablet sign-offs, certificates, is linked to the serial number. iLEAN Agents organizes it by what each standard and each customer asks for. When the machine is closed, the dossier is ready. The quality lead reviews and shares it; the customer's auditor downloads it without waiting.
The dossier is not written at the end; it is the by-product of everything captured during the build. Agents only arranges it the way each standard and each customer wants to read it, and flags the gap when it happens, not at delivery. Quality stops being the department that assembles paper and goes back to reviewing it.
Dossier assembled at delivery versus dossier built during the build
| Aspect | Today | With iLEAN Agents |
|---|---|---|
| Preparing the dossier per machine | Days of quality time | Ready when the machine is closed |
| Tuning curves and inspection photos | Hunted across folders | Linked to the serial number |
| IATF 16949 and ISO 13485 layouts | Rebuilt for each customer | One evidence set, indexed per standard |
| Missing piece of evidence | Raised by the customer's auditor | Flagged when it should have existed |
| Customer's auditor | Waits for a package | Downloads the dossier |
| Who approves the dossier | Quality lead | Quality lead, after review |
Before: days preparing each machine's dossier. After: dossier ready when the machine is closed.
Impact estimate — to be validated with your numbers.
The block below is an estimate to be validated against your plant's actual data. We put it forward so the committee has an order of magnitude; we refine it during the assessment.
- Estimated payback 6-12 months, depending on the volume of validated machines and how many of your customers audit to IATF 16949 or ISO 13485.
- From days of preparation per machine to zero: the dossier is ready when the machine is closed.
- Less non-conformity risk, because a missing record is flagged during the build instead of during the audit, when it can still be produced on the machine itself.
- And the same evidence serves the IATF 16949 customer, the ISO 13485 customer and your own certification body without being rebuilt each time.
Payback 6-12 months · from days of preparation to zero (estimate to be validated). From days of preparation per machine to zero, with less non-conformity risk. Estimated payback of six to twelve months depending on the volume of validated machines; an estimate to be validated.
And the fair question from the production manager
“Isn't this just a document management system with another name?” — a document manager stores what someone uploads after the fact and inherits its gaps. Here each record is captured at the station and linked to the serial number when it happens. Classifying that evidence against the clauses each standard asks for is an anchored task where the best models drop below 1.5% error [1], and the quality lead reviews the dossier before it is shared. Nothing goes to a customer without a person having approved it.

What people ask about the machine delivery dossier
Which documents end up in the delivery dossier?
Acceptance and FAT records, tuning curves, horn inspection images, configuration check, material certificates, welding recipe and sign-offs. The list follows what each customer and standard asks for. Each item points to its original source, so nothing in the dossier is a copy typed by hand.
Can it produce IQ and OQ style documents for medical-device customers?
It assembles the evidence those documents need and arranges it in the customer's template. The protocol content and approval remain with your quality team. What disappears is the hunt for the evidence each section needs.
Does each customer get a different layout?
Yes. The evidence is the same, and Agents indexes it the way each customer or standard expects, which is the work quality repeats by hand today. Adding a new customer's template is a configuration task, not a new project.
Does the customer's auditor get access to our systems?
No. They receive or download a dossier scoped to their machine, with nothing else visible. Your other customers' machines and your internal records stay out of reach. Access can expire after the audit or the warranty period.
What about machines already delivered before iLEAN?
Their documents stay where they are. The dossier is built from the first machine assembled with iLEAN; loading older history is optional. Many plants load only the machines still under warranty.
